Setting up a Group Diploma Order - Type #2

 

 

 

The information on this page is for those who wish to set up a group diploma order where the group pays the price of a Standard Diploma and the families may upgrade their diploma (or add accessories) and pay us directly for the difference.

Here is how it works:

One person serves as the contact person for your group. This person sets up the order, provides the payment, and receives the order. They also make sure that group members meet the deadline. They can designate others to help with the project, make phone calls, etc., but the contact member should be the one that we deal with directly.

The contact person uses the link below to give us the information we need to set up your ordering page. We will need to know the minimum number of people in your order and the deadline you plan to use so that we can be sure you get the correct discount, if one applies. We will also want to know what color diploma cover your group will use. (Each family can select the design for the front of the diploma cover, but the color is normally uniform for the whole group.) We do not need to have an exact number of those in your group, just the minimum number so that we know which price bracket you will be in.

Once the page is ready (this normally takes 2 to 3 days), we provide the contact person with the URL of the ordering page your group will use. This page is set up so that a Standard Diploma costs $0 and a Personalized diploma is $4. The page gives complete instructions for ordering. This URL is to be passed on to other members of the group, along with the deadline information. It is important to let everyone know that they must come to the web site to place their diploma order by the deadline, even if they don't want to upgrade their diploma or purchase accessories. We need to get the information from them, even if they just want the Standard diploma and don't owe any additional money.

Each family comes to the group's page to order on-line. If the Standard diploma is desired, no payment will be required from them. If the family wishes to upgrade the diploma or purchase accessories, they pay us directly. Our shopping cart allows customers to pay in one of three ways: secure credit card payment on-line, phoned in credit card payment, or mailed-in money order.

Three days before the ordering deadline, we will e-mail the contact person a list of those that have ordered so that any remaining families can be called. The day after the deadline, the group's page is taken down and the order is closed. We let the group know the number of diplomas that were ordered so that payment can be made to us, either by money order or by credit card. We need to have the payment within 10 days of the closing date.

We will ship the group's order to the contact person 2 to 3 weeks after the payment is received, along with any accessories that were ordered. A copy of each customer's receipt is included with the shipment.

Please read this important information:

  • Group discounts listed are for Standard, Personalized, and Exclusive Diplomas that are shipped to one address. Orders must be set up and completed by the deadlines listed.
  • If your group has late-comers that join after your group's diploma ordering deadline has passed, they may place their order from us as an individual customer.  They pay for their diploma and shipping at the time they order, and can use the group coordinator's address as the shipping address if they choose. The late orders do not receive the group discount.
  • If there are members of your group who are not able to order on-line, we suggest that you ask for volunteers within the group to help them place the order. If we have to take the order by phone, the diploma will be charged at the list price.
  • The deadlines listed above are firm. If you tell us that you will have 10 group members, and will order by December 15th, we will set your group up with that price category. But if, by midnight on December 15, only 9 people have ordered, your group will be charged the difference for the cost of the diplomas as though they were placed by February 1st because you did not have enough qualifying orders for the higher discount. Three days before the deadline, we will provide the contact person with a list of those who HAVE ordered. You are responsible to be sure that all your families order their diplomas by the deadline.
Please Contact us as soon as possible! March through June are very, very busy for us, since that is the time most of our orders from individual families and many Christian schools come in. We finish filling the group orders by the middle of March. If you know your group will have a graduation in May, it is not too early to contact us in the fall and get it set up so that we may have your order ready to ship in January or February.
