One person serves as the contact person for your group. This person sets up the order, provides the payment, and receives the order. They also make sure that group members meet the deadline. They can designate others to help with the project, make phone calls, etc., but the contact member should be the one that we deal with directly. |

The contact person uses the link below to give us the information we need to set up your ordering page. We will need to know the minimum number of diplomas on your order and the deadline you plan to use so that we can be sure you get the correct discount, if one applies. We will also want to know if your group is planning to limit the color for the diploma covers. That information will be placed on the group's page, and we will check the orders as they come in to be sure they conform to the group's color choice (if any). We do not need to have an exact number of diplomas for your group, just the minimum number so that we know which price bracket you will be in.

Once the page is ready (this normally takes 2 to 3 days), we provide the contact person with the URL of the ordering page your group will use. The page gives complete instructions for ordering, tells the diploma cover color, if the group has decided to limit the color, and has the coupon for the group. This URL is to be passed on to other members of the group, along with the deadline information. It is important to let everyone know that they must come to the web site to place their diploma order by the deadline. We need to get the information from them, even if they will be purchasing only the "basic" diploma and will not owe any additional money beyond what is being paid by the group on their behalf.

Each family comes to the group's page to order on-line. They must add the coupon to the shopping cart in order for their prices and shipping to be correct. Once the coupon is added to the cart, the group's contribution is subtracted from the diploma prices. For example, if the group is paying for a Standard Diploma, it will add to the cart as $0, and Personalized diploma as $4. Our shopping cart allows customers to pay in one of three ways: secure credit card payment on-line, phoned in credit card payment, or mailed-in money order. |

Three days before the ordering deadline, we will e-mail the contact person a list of those that have ordered so that any remaining families can be called. The day after the deadline, the group's page is taken down and the order is closed. We let the group know the number of diplomas that were ordered so that payment can be made to us, either by money order or by credit card. We need to have the payment within 10 days of the closing date.

We will ship the group's order to the contact person 2 to 3 weeks after the payment is received, along with any accessories that were ordered. Each customer's order is individually bagged and contains a copy of receipt.

| Note: this ordering method subtracts the discount from the "base diploma" that the group elects to pay for on behalf of the families. The price of any other style diploma is equal to the difference between the regular web prices of the two diplomas. For example, if the group is getting a 15% discount and setting up the order so that they pay for a Standard diploma with a regular web price of $28.50, they would pay $24.23 for each member's diploma. If a family wishes to upgrade to a Personalized diploma, they would pay $4 to upgrade. (The difference between the regular web prices of the Standard and Personalized Diplomas is $4.) By using this ordering method, the discount is only being applied to the "base diploma" portion of each order. We recommend ordering method #1 because it actually provides a larger discount for those who might order the more expensive diplomas. |

Please read this important information:
- Group discounts listed are for Standard, Personalized, and Exclusive Diplomas that are shipped to one address. Orders must be set up and completed by the deadlines listed.
- If your group has late-comers that join after your group's diploma ordering deadline has passed, they may place their order from us as an individual customer. They pay for their diploma and shipping at the time they order, and can use the group coordinator's address as the shipping address if they choose. The late orders do not receive the group discount.
- If there are members of your group who are not able to order on-line, we suggest that you ask for volunteers within the group to help them place the order. If we have to take the order by phone, the diploma will be charged at the list price.
- The deadlines listed are firm. If you tell us that you will have 10 group members, and will order by the mid-December deadline, we will set your group up with that price category. But if, by the order deadline, only 9 people have ordered, your diploma prices would have to be adjusted to the next applicable deadline because you did not have enough qualifying orders for the higher discount. Three days before the deadline, we will provide the contact person with a list of those who HAVE ordered. They are responsible to be sure that all your families order their diplomas by the deadline.
| Please Contact us as soon as possible! March through June are very, very busy for us, since that is the time most of our orders from individual families and many Christian schools come in. We finish filling the group orders by the middle of March. If you know your group will have a graduation in May, it is not too early to contact us in the fall and get it set up so that we may have your order ready to ship in January or February. |
